I also like to use sites like Eventbrite or even the events section on Facebook to help reach a broader audience and as well to help keep track of attendees. Eventbrite has a ticket system (paid tickets and also free tickets, if you go that route) and it’s handy for your attendees so they can add events to calendars and get reminders via Eventbrite. Their automated system works well (once your event is set up there, of course!)

Consider partnering with other artists or influencers in your niche as well. Collaboration with people who have a great online presence can significantly increase your reach. To attract a larger audience, you can cross-promote one other's content, share event-related articles, or even conduct collaborative contests. So the event day has arrived…now what?

Arrive early on the workshop day to set up the space and create a warm, inviting atmosphere for everyone attending. Some venues will let you set up the night before, so be sure to check with them to see if this is possible. That way you can set up the night before, and come in the next morning to just do final adjustments. If this isn’t possible, then just be sure to get there early for set up! This is something that may take longer than we expected (or we may forget something and have to run to get it or buy it). Focus on developing interesting and participatory sessions during the course. Encourage questions, conversations, and one-on-one assistance in order to create a helpful learning atmosphere. Something we sometimes forget is to seek feedback from participants after the event to continuously improve your future seminars. After the event, you may wish to extend your appreciation with personalized thank-you notes, and consider sharing workshop highlights on social media and your website to keep attendees involved (behold the power of stories and reels!). Remember that your dedication to providing meaningful and unforgettable experiences through your art workshop activities remains constant at all times.

This can be a great way to dip your toes into event and workshop hosting. The possibilities for arranging your own online art event are only limited by your imagination. Begin by deciding what kind of event you want to put on, such as an exhibition, auction, workshop, webinar, or creative challenge (if you follow me on Instagram, you probably saw my Glitchmas creative challenge in December!). Outline your objectives clearly, taking into account what you expect participants will gain from the event. After you've decided on the type of event, the next step is to select the best online platform. Platforms such as Zoom, Microsoft Teams, Google Meet, or dedicated art platforms can provide the interactive capabilities you require to properly engage your audience.

Choose an appropriate date and time for your event, keeping in mind time zones if your participants are from various regions. Promotion is essential for a successful turnout. To promote your event, use social media, your website, art forums, and mailing lists. Create eye-catching promotional materials and urge participants to spread the word among their networks.

Prepare all of the essential materials, presentations, or artworks for the event in advance. Create a detailed outline or presentation to guide your workshop or webinar attendees through the session. Don't forget to test the technologies ahead of time (this is SUPER important!). Familiarize yourself with the features of the web platform to ensure smooth audio, video, and interactive aspects. I typically like to do a run through before the event to make sure everything is working well (you can do this solo or invite an art friend for feedback/advice…either way works!)

Engage your attendees actively during the event. Encourage questions, comments, and exchanges to foster a lively and participatory environment. Following up with your participants after the event is critical. Thank them for participating and give any further resources, recordings, or items promised during the session. Finally, get comments from participants to learn what went well and what may be improved.
